The Central European University (CEU) invites applications for an Administrative Assistant position in Facilities Department at the Vienna Campus. This position is a part-time, 20 hours/ week with indefinite contract.

 

Duties and Responsibilites 

 

  • Handles common e-mail account
  • Photocopies and files appropriate documents as needed
  • Manages outgoing posts and records data on special deliveries
  • Drafts, formats and prints relevant documents
  • Assists in purchase orders and invoicing
  • Cooperates with other units
  • Works with the designated software 
  • Handling and administering all incoming and outgoing postal deliveries to units
  • Supporting and administering intercampus mail deliveries
  • Notification of recipients by mail or phone
  • Handling and administering packages delivered by external couriers
  • Administering and reporting of the outgoing mails toward the Austrian Post
  • Handling the postal stamp machine and reports its financial balance
  • Liaising with external partners (postal services such as DHL, FEDEX, etc.)
  • Substitutes the Stationary and ID card officer

 

Qualifications

 

Must possess a completed A-level or High School Diploma
