Job Title: Executive Assistant (f/m/d)

The Executive Assistant will play a key role by ensuring the effective functioning of the Legal Office by providing comprehensive administrative support to the General Counsel and the legal team. This role requires a high level of discretion, excellent organizational skills, and the ability to manage multiple tasks efficiently. The ideal candidate will have experience in a legal or academic environment and possess strong communication and interpersonal skills.
Executive administrative responsibilities include schedule management for the General Counsel, coordination of team travel, and oversight of the Legal Offices in both Budapest and Vienna. The role also involves expense processing, monthly budget reporting, and acting as a liaison to the broader university community. Additional tasks include conducting research, supporting cultivation events, and contributing to internal and external communication efforts. The Executive Assistant also provides project support for ongoing and new initiatives, such as policy reviews and updates.
Duties and Responsibilities

Cooperates and coordinates projects with other units

Takes care of website functions and social media profiles

Works in the designated database (UIS, SITS, Nexon, SAP, etc), enters data and updates records

Submits reports and prepares presentations/proposals as assigned

Acts as budget administrator (or administers budgets), Manages staff expense requests, Assists in purchase orders and invoicing

Supports the budget holder in the planning process and in tracking year-to-date spending.

Organizes events

Handles common email account

Manages agendas/travel arrangements/appointments

Research for and creation of high-level briefings, correspondence, and proposals.

Responsibility for departmental digital media, including content creation and online community engagement.

Manage database subscriptions and annually evaluate available tools.

Regularly evaluate and improve upon systems once implemented and provide input into the budget planning and monitoring process.
Qualifications

Bachelors degree or equivalent
-
Experience with SAP preferred.

3-5 years demonstrated work experience in a similar position is required
