Are you a proactive and detail-oriented professional, or someone looking to gain valuable experience in student services? If so, you might be interested in joining the Student Services Office (SSO) as our new Student Residence Coordinator.  

 

The SSO plays a crucial role in supporting students throughout their journey in Vienna, providing guidance on essential matters such as visas and residence permits. As a Student Residence Coordinator, you will be the first point of contact for students navigating these processes, ensuring they receive accurate and timely information. Beyond administrative support, you will also contribute to fostering a vibrant student experience by assisting in event organization, managing inquiries via email, participating in webinars and meetings, and offering general support to help students settle into life in Vienna.

Duties and Responsibilities

  

General Tasks 

  • Handles common email account 

  • Assist incoming and enrolled students via email, call, or in-person 

  • Photocopies and files appropriate documents as needed  

  • Book rooms when necessary  

  • Takes meeting notes and writes up summaries  

  • Drafts, formats, and prints relevant documents  

  • Cooperates with other units  

  • Takes care of website functions and social media profiles  

  • Independently calls for collaborations and meetings  

  • Works in the designated database (SITS), enters data and updates records  

  • Submits reports and prepares presentations/proposals as assigned  

  • Assists students with various ad-hoc requests 

  • Helps organize and execute SSO events 

 

Student Residence Permit 

  • Solve difficult student residence cases with the immigration authorities or embassies  

  • Advise non-EU students on how to obtain a residence permit, legalize and translate documents for authorities, obtain tax numbers in Austria, and the process of obtaining a work permit (via mail, phone, or in person)  

  • Participating in webinars on how to get a residence permit, Meldezettel, life in Vienna Reporting and creating surveys on the status of students' residence permits  

  • Improving and simplifying communication for students on how to get a residence permit, Meldezettel, and Anmeldebescheinigung 

 

Qualifications

 

  • Excellent German and English (both C1) 
  • University degree in Communication, Social Sciences or other relevant field 
  • Experience in working with Austrian Authorities is an advantage 
  • Experience in Customer Service is an advantage

We offer a competitive salary starting from a gross of 42,000 EUR/year. A higher salary is possible if warranted by the candidate’s working experience.
The position is a maternity replacement, with an expected duration of around 18 months.
